that a photographer getsIf your current growth strategy can be summed up as “do more” this might be the perspective you didn’t know you needed.
Scaling isn’t about doing more.
It’s about doing less better.
Why Doing More Stops Working
I’ve been a Photography Business Coach for over twelve years and I used to believe scaling meant doing more of the same. More clients that a photographer got, the more money they would make. In my mind it was that simple.
More marketing.
More calls
More ad spend
More sales
More hours.
What I learned quickly is that scaling too fast can be just as dangerous as not scaling at all.
Studios would grow revenue and everything looked healthy on the surface. But profit was shrinking. The business was growing but the people weren’t. The turnover was growing but the profit was diminishing.
When Growth Creates Friction
As studios scaled the cracks started to show:
• Bottlenecks everywhere
• Tasks falling through the cracks
• Staff struggling to keep up
It took a “lightbulb” moment that I realised that we weren’t building scalable photography businesses.
We were just moving too fast.
Growth can increase revenue but without a strong foundation the business eventually stalls or collapses under its own weight.
The Question That Changed Everything
The turning point didn’t come from better marketing or a bigger ad budget.
It came from one uncomfortable question that I asked all of my photographer clients:
What part of the business actually needs me?
Every task.
Every decision.
Every approval.
If the answer was yes I looked at why.
If the answer was no I had two choices:
• Standardise it into a clear repeatable process
• Delegate it with the right structure and expectations
Instead of pushing harder we focused on building systems that worked without me being involved in every step.
From Working Harder To Working Smarter
This isn’t’ about losing a passion to work hard.
It was about doing everything in my studio in a more efficient way.
I documented processes.
I had staff follow the processes.
I simplified workflow.
Drop shipped delivery.
Busy started to mean productive not just occupied.
Building a System Led/Data Led Business
Once the business became system-first everything changed.
• Growth accelerated without chaos
• Clients received more consistent higher-quality results
• Staff stepped into real ownership and leadership
• Projects moved forward without constant oversight
• I stopped being the bottleneck
We shifted from reactive to proactive.
Instead of fixing problems after they happened we designed systems that prevented them in the first place.
Why System-First Businesses Always Win
This is the real goal of scaling:
Sustainable growth built on repeatable systems not driven by burnout.
What’s the point of growing faster if everything is falling apart?
Today I optimise for:
• Consistency over overwhelm
• Team building structure guessing
• Longevity over intensity
The Real Cost of Doing More
Doing more eventually costs you:
• Focus
• Energy
• Frustration
• Worse Client experience
Scaling isn’t about adding pressure.
It’s about removing friction by building great systems.
It also means tracking the right data to understand what’s working and what isn’t.
Are You Building the Right Business Model?
If your business is growing but feels heavier every month ask yourself:
• What am I still holding onto that doesn’t actually need me?
• Which processes live only in my head?
• Where does the business break if I step away for a week?
• Who on my staff could step up with the right structure?
I found it was so important to have the right growth mindset.
Because the best growth isn’t about being busier.
It’s about building a business that works with or without you….that’s FREEDOM!
